In an effort to ensure the safety of occupants, a permitting procedure has been established that applies to all tents, stages, inflatable amusement devices and temporary structures assembled on Virginia Tech property. This applies to:
It is required that the following application form be completed and submitted to the University Building Official's Office at least 30 days prior to the assembly of the tents, stages or amusement devices. Once reviewed and approved, a Permit/Temporary Certificate of Use for a Temporary Facility/Tent/Stage will be issued. A copy of the permit will be provided to the applicant which must be posted in open view near the tent, stage or amusement device.
If your program has several tents, stages and/or inflatable amusement devices or a large number of participants (over 300), contact the University Building Official’s Office at 540-231-5534, rather than submitting this form.
Miss Utility must be contacted five (5) days prior to the assembly of the tent, stage or amusement device where the equipment will use groundpins or stakes for wind restraint. This service can be reached by calling 1-800-552-7001. The tents, stages or amusement devices shall not be assembled until the underground utilities are marked.
The University Building Official’s Office and Environmental, Health and Safety Services (EHSS) must be contacted at least two (2) days prior to the assembly date to schedule an inspection of the tent. Any hazard identified during the inspection must be fixed immediately or the tent or temporary structure must be removed and the permit shall be revoked.

The following restrictions must be considered when choosing the location of the tent (if tent is 1,500 sq. ft. or more).
20 feet minimum clearance must be maintained between the tents, stages or amusement devices and all adjacent buildings, trees and shrubs, and/or other tents or structures.
The tent, tent stakes, and all other anchors must not damage or interfere with the function of the underground utilities.
Accessibility for handicapped persons must be provided, including an accessible path from a handicap parking space to the entrances and access to all activities conducted.

Applicant: Provide the name of the person who should be contacted by the University Building Official for information concerning this permit request. This person will be the contact for the UBO, serve as the contact during inspections, and be responsible for the permitted equipment.
Miss Utility Contact: Miss Utility must be contacted at 1-800-552-7001 at least five days in advance of tent assembly to mark the underground utilities located in the vicinity of the tent site.

EHSS Fire Safety Contact: VT Environmental, Health and Safety Services must be contacted at 540-231-9068 not less than two days in advance of tent assembly to schedule a site inspection. EHSS and/or the Virginia State Fire Marshall's Office will verify that the tent is assembled and used in accordance with the information submitted on this form and in accordance with the Virginia State Fire Prevention Code.
